The booking Terms and Conditions constitute a legally binding contract between Odyssey Treks and you. So it’s essential that you just read them carefully and understand them and set out your relationship legal with Odyssey Treks.
As per the Terms and Conditions policy, for booking your trip, you should send 20% of the total payment as security to make the trip arrangement which is non-refundable. If you cancel your trip, the company shall not be responsible for the refund of your advance payment. But, you may postpone your trip to avoid cancellation till one year and you need to inform us at least 2 weeks before the trip departure.
We require you to send us your scan passport copy via email at [email protected]. After receiving passport copies of all the participants along with advance payment we will send you a final confirmation receipt.
We need your passport copy to make booking confirmation of flight, hotel, trekking permit process, and other required legal processes as per your trip. For your information, the passports of all the participants should be valid for at least 6 months from the date of your entry to Nepal.

- During the transfer, the transfer service charges are the sender’s responsibility. Please make sure we can receive the actual amount invoiced with your bank.
Please note that if your bank doesn’t have a direct connection with our bank, there might be more bank commission, which might be deducted from the amount you deposited. So, please check with your bank and remit the payment accordingly
- To Ensure Your Transfer Accuracy, Any inefficient or inaccurate transfer may delay the reservation procedures. Deposits are required to be guaranteed at the time of reservation
For Credit Card payment, don’t hesitate to contact us. We only accept Visa or MasterCard on final payment upon arrival in Kathmandu, and an additional 4% bank service charge would be applied for the card processing fee.

CANCELLATIONS OF THE TRIPS:
As per the Terms and Conditions policy, clients are free from making all cancellations for any reason. We do not impose compulsory trips on any of our customers. We refund a certain amount to our customers depending on cancellation dates. The date of cancellation and refund amounts are mentioned below:
- Cancellation before 60 days of departure – Full refund
- Cancellation before 30 days of departure – 50% refund
- Cancellation before 15 days of departure – 25%
After 10 days & after the trip is started – No refund
If Odyssey Treks cancel your trip, we will fully refund the deposit and payments. However, if our cancellation is due to civil war or from any other unpredictable circumstances beyond our control, the reasonable expenses that we have already paid for the process of the trip will be deducted from your deposited amount.
We are not responsible for any refunds in case of any incomplete trip whatever the reason you turn back from the trip. Before you turn back you make clear communication with us or your guide.
Therefore Travel insurance is compulsory for all Clients undertaking any tour/trek. It should provide adequate protection for the full duration of the tour/ trek to cover personal injury, medical expenses, repatriation expenses, helicopter evacuation, loss of luggage, etc.
