The booking terms and conditions constitute a legally binding contract between Odyssey Treks and you. So it’s essential to read and understand them carefully and legally set out your relationship with Odyssey Treks.
As per the Terms and Conditions policy, to book your trip, you should send 20% of the total payment as security to make the trip arrangement, which is non-refundable. If you cancel your trip, the company will not be responsible for the refund of your advance payment. But, you may postpone your trip to avoid cancellation for up to one year, and you need to inform us at least 2 weeks before the trip departure.
We require you to email us a copy of your scanned passport to info@odysseytreksnepal.com. After receiving passport copies of all the participants along with the advance payment, we will send you a final confirmation receipt.
Note:
We need a copy of your passport to make booking confirmations for flights, hotels, trekking permits, and other required legal processes as per your trip. For your information, the passports of all the participants should be valid for at least 6 months from the date of your entry to Nepal.

- Please ask your bank to authenticate the payment by SWIFT or a Tested Telex message. Use the bank details above and ensure the correct company address appears on the transfer.
- The sender is responsible for all transfer service charges. Please ensure that we receive the full invoiced amount.
If your bank does not have a direct relationship with our bank, additional commissions may apply. These fees may reduce the transferred amount. Please confirm this with your bank and remit the payment accordingly. - To ensure accurate transfers, please avoid errors or delays. Inaccurate transfers may delay reservation procedures. We require deposits to be guaranteed at the time of reservation.
Credit Card Payments
For credit card payments, please contact us. We accept only Visa or MasterCard for final payments upon arrival in Kathmandu. A 4% bank service charge will apply to all card transactions.
You may pay the remaining balance upon arrival in Nepal by cash or credit card.
TRIP CANCELLATIONS:
Under our Terms and Conditions, clients may cancel trips for any reason. We do not impose compulsory trips. Refunds depend on the cancellation date, as outlined below:
- Cancellation more than 60 days before departure: Full refund
- Cancellation more than 30 days before departure: 50% refund
- Cancellation more than 15 days before departure: 25% refund
After 10 days before departure, or once the trip has started, we offer no refund.
If Odyssey Treks cancels your trip, we will refund all deposits and payments in full. If we cancel due to civil war or other unforeseeable events beyond our control, we will deduct reasonable expenses already paid from your deposit.
We do not issue refunds for incomplete trips, regardless of the reason for early return. Please inform us or your guide clearly before leaving the trip.
TRAVEL INSURANCE
All clients must carry compulsory travel insurance. The policy must cover the full duration of the tour or trek. Coverage should include personal injury, medical expenses, repatriation, helicopter evacuation, and loss of luggage.
